Functions & Events Terms & conditions: 18th & 21st Birthday Parties 

General

By agreeing to the terms below, the Customer agrees to follow and be bound by them for the duration of the Agreement between The Lancashire Hospitality Co-Operation (and the businesses comprising thereof; hereto referred to as: Us, We, Our, Company, Business) as the Service Provider and the person(s) requiring the service (hereto referred to as Event, Booking, Function, Party) as the Customer (hereto referred to as You, Your). In circumstances where the Customer is comprised of multiple individuals, organisations or entities; all named parties will be jointly and severally liable under the terms of the Agreement. Individuals employed as management within the Company will be deemed to be representatives of the Company and may act and make decisions on Our behalf. The terms of the Agreement are applicable from the point when You pay Us monies as a deposit to secure Your Booking until the later of the following: 3 working days after the date on which Your Event is due to end, or the date on which the final balance of the Agreement is paid.

Deposits & Payments

For all 18th birthday Parties, we require an additional security deposit of £500 and for all 21st birthday Parties we require a security deposit of £200. This deposit is to cover the additional risk of any potential losses or damages as a result of these types of Event including, but not limited to: physical damage & breakages, loss of earnings, theft, additional cleaning (if required). In cases where losses have been incurred by Us, You will be informed of these within 3 working days after the date on which Your Event ends and We will provide evidence of losses upon request within 28 working days of this. Should no losses be incurred, the return of Your deposit will be processed within 7 working days from the date Your Event ends. If Your deposit is to be returned to You via bank transfer this can take up to 7 working days for the transaction to be completed.

Where multiple deposits are required (such as for entertainment, room hire or security deposits), these must be paid a maximum of 60 days from the start of the Agreement. All deposits are non-refundable less than 12 weeks before the date of the Event. Final balances must be settled no less than 14 days before the date of Your Booking. We may, at our sole discretion, offer a payment plan however the terms of such would be agreed upon an individual case-by-case and in any circumstances would be superseded by the Terms of this Agreement.

Third Party Suppliers

Due to health & hygiene regulations, any catering for food & beverages for Your Event must be provided by Us. If You are providing Your own entertainment, they must be able to produce evidence of valid Public Liability Insurance and PAT testing certification for any equipment they will be bringing on site. All 18th birthday Parties are required to have an SIA-approved security person. This is provided by Our pre-approved security companies at a rate of £15 per hour. For safety and security purposes, We do not allow door staff or security staff other than those supplied by Our pre-approved security companies. In all cases, We will require the contact details for any third party who may be supplying Your Event.

Rescheduling & Cancellations

Should You require Your Event rescheduling, We will facilitate this at no additional cost within the first 60 days of the start of the Agreement, after which we may charge a £25 administration fee. If Your Event is cancelled or rescheduled less than 14 days before the date of the Event we reserve the right to charge a fee of up to 50% of the balance of the Event, less deposits already paid, to cover our costs. If, through circumstances outside of both parties’ control, Your Event cannot take place; We will in the first instance offer to reschedule Your Event free of charge within 12 months. We will honour all agreed prices in this circumstance. In the event that this is not possible We may offer You vouchers to the value of monies paid to Us by You or, in exceptional circumstances, a partial or full refund. Such refunds would be granted on a case-by-case basis at our sole discretion and not unreasonably withheld.

If Your Event is found to be in breach of any government guidelines, laws or regulations to which our venues are subject (including licensing) We may cancel Your Event with no notice. We also reserve the right to amend or cancel Your Event with no notice if You are found to have breached these terms & conditions. Age verification will be conducted by security staff upon entry to the Event and additionally by serving staff where alcohol is being purchased. If any instance of underage drinking is discovered, we reserve the right, at Our sole discretion, to cancel the Event immediately. In these circumstances any deposits will be forfeited and We reserve the right to invoice You for the full balance of the Event.

These terms are correct as of March 2021 and may be updated or amended as We may deem necessary. These terms do not affect your statutory rights.
